If you are gathering information about your clients for marketing purposes, you need to be aware of your responsibilities under the Data Protection Act, 1998.
In its most basic form, the Data Protection Act means you need to ensure that you take care not to share any private data that you store on your systems about any of your contacts. Private data includes phone numbers, addresses and e-mail addresses - the type of information that you get all of the time from clients you work with, and also the type of information that you supply to others as well.
For this reason, managing a database of clients is a responsible task and you should make sure that you take precautions in case of theft. For example, if you have a memory stick, can you password protect it? If you use an XL Spreadsheet, you can password protect that as a basic level of security too. At the top level, you can password protect the access to the computer that you use - for example, if you have multiple users of the one PC, have you considered setting up different User Accounts?
